Frequently Asked Questions

AppointMentor provides complete guidelines, but these Frequently Asked Questions will help clarify frequent areas of confusion.



Please go through the checklist below to prevent this email notification from arriving the next day:

• Your internet connection is operational at the practice
• Your main server is switched on and operational
• The Welltime Online Booking application is running. It will be running on the system tray, which is the bottom right hand section of the computer, next to the clock. If it is not running, double click on the white and green program found on the desktop named [your practice management software] Online Booking
www.appointmentor.com is accessible through an internet browser

If all of the above is in order and Appointmentor is still offline, please feel free to open a support ticket here

1. Login to your Appointmentor account on www.appointmentor.com
2. Click on Management Control
3. Under the Uploads Treatments tab, click on the arrows from left to right to upload a patient scheme, and from right to left to unregister it
4. Click on the Update button underneath this section to save your changes

Please note, that if you upload or unregister a patient type, you will need to register treatments and dentists to the treatment plan.

1. Login to your Appointmentor account on www.appointmentor.com
2. Click on Management Control
3. Under the Register Treatments tab, , select or unselect the treatments you wish to add or remove from Appointmentor
4. If you are adding a new treatment, please select the treatment plans you wish to associate with these treatments
5. Click on the Update button underneath this section to save your changes

1. Login to your Appointmentor account on www.appointmentor.com
2. Click on Management Control
3. Under the Register Dentists tab, select the dentists and hygienists you wish to add while also selecting the patient types next to each dentist and hygienist
4. Click on the Update
5. Next to each dentist/hygienist, click on Attach treatment
6. Select the treatments you wish to add for the dentist/hygienist. Here you can also adjust the times for each dentist/hygienist
7. Click Update underneath this treatment list
8. Repeat processes 5 -7 until all dentists and hygienists have the correct treatments and treatment times registered
9. Click on the Update button on the top right hand side to save your changes

These emails arrive from existing patients of your practice, and are looking to activate their online booking account or add a family member to their own account.
To locate the activation number for a patient:

1. Login to your Appointmentor account on www.appointmentor.com
2. Click on Management Control
3. Under the Register Patients tab, select the dentists and hygienists you wish to add while also selecting the patient types next to each dentist and hygienist
4. In the search box, add the surname of the patient who needs the activation number
5. Select the right patient from the generated list, and their activation number will be located there
6. Copy and paste the activation number and reply back to the patient with this number

This has happened because while setting up the online booking, a setting was selected that allowed patients to book with any registered dentist at the practice.
To remove this:

1. Login to your Appointmentor account on www.appointmentor.com
2. Click on Management Control
3. Click on the Configurations tab
4. Unselect the option Allow Patients to book Appointments with any Dentist or Allow Patients to book Appointments with any Hygienist
5. Click on the Update button on the top of the page to save your changes

This has happened because while setting up the online booking, a setting was selected that allowed patients to book with any registered dentist at the practice.
To remove this:

1. Login to your Appointmentor account on www.appointmentor.com
2. Click on Management Control
3. Click on the Configurations tab
4. Unselect the option Allow Patients to book Appointments with any Dentist or Allow Patients to book Appointments with any Hygienist
5. Click on the Update button on the top of the page to save your changes

3. Click on the Register Treatments tab
4. Click on the Treatment restrictions sub tab
5. If no restrictions have been enabled, check the box to enable it
6. A list of all treatments uploaded will show, select or unselect the treatments you wish new patients are able to book
7. Click Update on the top of the page to save your changes
